A guide to ordering print
How do you request a print quote you can compare?
Two quotes can look similar yet describe different jobs. Before choosing by the amount, make sure every supplier received the same specification and that it is clear what each quote includes.
1. Start with the use and the quantity
Write what you are printing and what it is for: a flyer for a sale, a placemat for the table or a booklet for a conference. State the quantity for each product. If you are deciding between quantities, explain this to the supplier and ask them to clarify how each option changes the quote. Do not treat an overall quantity as if it splits itself between several designs.
2. Define size, material and finish
The final size is the size of the finished product. State the units, the width and height, and the number of sides or pages. If you know the paper type and weight, write them down. Add any folding, binding or finish required. When you do not know what suits, write the planned use and ask for a recommendation — it is important that the choice is documented in the quote.
3. Describe the state of the file
Is the file final? Are there several versions or several designs? If a file is attached only as a sample, say so. A name containing the word final is no substitute for deciding which file should go to print. Ask the print shop for guidelines and make sure you hand over the version approved for the job.
4. Add the target date and delivery
State the date by which the product needs to be with you and the pickup or shipping options. For an event, define the target day and not only the day you would like it printed. If packing, assembly or distribution are needed, include them. The supplier needs to confirm the date and the services in the quote.
5. Check what is included
Go over the quantity, the material, the finish, the stand if there is one, transport and payment terms. Check whether the price includes taxes or shows them separately; do not assume. If a detail is missing, ask before choosing. On Drapress you can define the specification in the request and track the quotes. Availability and price are set by the suppliers, and payment for the printing is made directly with them.
The suitability of the material, the file and the delivery is settled with the print shop according to the job.
